Japan annual leave is easier to understand if you start with the date on which leave is granted, rather than the number printed beside a calendar year. A new employee should check the hiring date, attendance record and employer’s leave rules before assuming that a holiday booking is covered by paid time off.

The Japan External Trade Organization’s employment guidance describes the basic entitlement: employers must grant ten days of paid leave after six consecutive months of employment where the employee has worked at least 80 percent of scheduled working days. That is a useful starting point for a conversation with payroll. It is not a reason to ignore a contract that gives more generous terms.

How Japan annual leave grows

JETRO’s table increases the standard annual grant with length of service. It lists ten days at six months, eleven at one year and six months, and twelve at two years and six months. The figure then rises to fourteen, sixteen and eighteen days at the next annual steps, reaching twenty at six years and six months or more.

Those figures describe days granted, not an instruction to subtract every absence from the same pot. Ask your employer to distinguish the current grant from carried-over leave and any separate contractual benefit. A payslip or staff portal that shows only one total can conceal which days are approaching their expiry date.

The guidance says the right to annual paid leave expires after two years. Unused days can therefore carry into the following year, but should not be treated as an indefinitely growing savings account. Before arranging a long trip, ask for the dates attached to each part of your balance. Keep a copy of the answer with your own record of leave already taken.

Requesting dates and recording the answer

Paid leave may be taken consecutively or separately. JETRO also says an employer may require different dates when the requested period would hinder normal business operations. A sensible request therefore states the exact working days involved and asks for a clear response. Avoid making a nonrefundable booking while the dates remain unresolved.

Do not confuse the size of the entitlement with the minimum amount that must actually be used. JETRO says employers must ensure that workers granted ten or more annual paid leave days take at least five days per year. Five days is not the whole entitlement of a worker who has been granted ten. Keeping those two numbers separate makes a discussion about a proposed leave schedule more productive.

Whole days are the general unit. The guidance says up to five days’ worth of leave per year can be taken in hourly units if a labor-management agreement allows it. If you need time for an appointment, ask whether that arrangement exists at your workplace; an hourly balance should not be assumed simply because the online booking system has a time field.

Part-time schedules need their own calculation

A short working week does not automatically mean no annual leave. JETRO says part-time workers with few working days and short weekly hours receive leave in proportion to their prescribed working days. Ask for the calculation that corresponds to your actual schedule instead of applying the standard full-time table without adjustment.

Illness presents another distinction. The guidance says employers are not required to provide additional paid days beyond these entitlements for a non-work-related illness or injury. Check whether your employer separately provides sick leave before deciding how an absence should be recorded. This guide does not determine the treatment of a particular medical absence or workplace injury.

For a practical first check, bring your start date, contract, work schedule and leave record to the conversation. Ask when your next grant occurs, which existing days expire first and how requests are documented. If the answer remains disputed, seek case-specific labor advice rather than treating a general web explainer as a ruling on your employment.
